Hensley's Paving & General Engineering:
From Pen-and-Paper Maintenance to Connected Equipment Operations

August 2026

Hensley’s Paving & General Engineering is a California-based contractor serving the Central Valley, with work that includes paving, grading, earthwork, and general engineering projects.

Before IVO Systems, Hensley’s Paving had a maintenance process that leaned heavily on pen and paper. Work orders could be written by hand and completed in the shop, but the history behind each repair still had to be filed, copied, and kept organized afterward so someone could find it later.

The process kept the records intact, but it also meant the shop carried much of the burden of keeping that information organized and available. When the office needed an update, or when someone had to look back at what had been done to a machine, getting to the answer still took extra time and follow-up.

Hensley’s Paving needed a better way to keep the detail the shop cared about while making maintenance information easier for the rest of the team to find and use.

Having tried other maintenance systems before, Duke Creech, a mechanic and shop manager at Hensley’s Paving, knew software would only get adopted if it made life easier for the shop.

Some systems brought too many steps into a process that needed to stay straightforward for the people doing the work. IVO Systems stood out because it felt simple, direct, and built around what the shop needed day to day.

No More Coming Into Work on Saturdays

Before IVO, the record keeping did not always end when a repair was finished. A work order could be completed in the shop, but the history still had to be organized afterward so it would be there the next time someone needed to understand what had been done. That catch-up work is what could turn into Saturdays at the shop.

Now, with MaintainVO, Hensley’s Paving has one place to manage work orders, service history, documents, repair assignments, and upcoming preventive maintenance. PMs can also be triggered by hours, odometer readings, dates, telematics, inspection forms, or manual entry, depending on how the team collects equipment information.

One of the clearest examples came after a machine had been repaired, went back out, and then had another issue a couple weeks later. Instead of sorting back through paperwork, the shop could look up the equipment history in IVO, review the completed work orders, and understand what had already been done.

When a new issue might be tied to old work, quick access to the history saves time. A previous work order, service manual, note, or photo can point the shop in the right direction before someone has to call around or retrace what happened last time. MaintainVO keeps that context with the equipment, making it easier for the next person to understand the history and move on to the repair.

The same idea applies to equipment manuals, service records, and other machine-specific information. Hensley’s Paving can store those details in IVO, so when someone needs to look something up, they can open the machine and keep work moving instead of stopping the repair to hunt for the answer.

Maintenance Information to the Right People, Faster

Before IVO, the shop kept detailed maintenance records, but the office still had to rely on check-ins when a question came up about equipment status or past work. If Duke was out, there was not always a clear place for someone else to look and understand what had been completed.

“Duke was on a pen-and-paper system that was not just failing him, it was failing us as well.”
— Rebecca Hensley, Office Manager

MaintainVO helped bring that maintenance history into a place the shop and office could both use. Work orders, notes, equipment details, and completed repairs became easier to review in the Maintenance Dashboard instead of being tied to one person or one set of paper records.

When a work order is completed in MaintainVO, the system will notify the right people that a machine is ready to operate, move to a job site, or whatever needs to happen next. The team can also see the story behind each machine without making several phone calls to track down one update.

With more of the maintenance process visible in IVO, the shop can keep records organized while the office has a clearer way to understand equipment status, maintenance history, and what needs to happen next.

Bringing Equipment Tracking, Telematics, and Inspections Together

MaintainVO is the center of the maintenance process at Hensley’s Paving, but the team also uses TrackVO, TelematicsVO, and EqInspectVO to connect that work with the rest of its equipment operations.

  • TrackVO gives the team an online magnet board for equipment tracking, so equipment can be viewed by project or yard and kept updated across the company.
  • TelematicsVO brings OEM and third-party GPS data into one place, giving the team a clearer view across a mixed fleet.
  • EqInspectVO supports custom inspection forms with notes, photos, meter readings, and issues that can be turned into work orders in MaintainVO.

Together, those tools make the day-to-day flow of equipment work easier to manage. When maintenance, tracking, telematics, and inspections are connected, the team has more of the equipment story in one place.

Telematics was one example of why Hensley’s Paving wanted equipment information connected in one system. The team had data coming from providers like Cat VisionLink, myKubota, Verizon, and others. Before IVO, getting a full picture of the fleet could mean logging into different apps or making phone calls to operators to track down answers.

With TelematicsVO, Hensley’s Paving can bring information from multiple providers into IVO Systems, giving the team a simpler way to see equipment information without moving between separate systems or relying on extra calls.

EqInspectVO supports the same workflow by bringing inspection information closer to maintenance. Inspection sheets that used to be handled by hand can now live in IVO, along with recurring 90-day inspections and alerts that help the shop keep up without tracking the same dates across multiple calendars.

Better Visibility for the Shop and Office

Hensley’s Paving moved to a maintenance process where equipment history is easier to keep current and more accessible to the people who need it.

“It cuts down on all that time that I was wasting doing other things.”
— Duke Creech, Mechanic/Shop Manager

With MaintainVO, the shop can spend less time catching up on paperwork after repairs are finished and more time working from current information. Duke said the practical improvement has been more time to turn wrenches, direct the people working under him, manage repair scheduling, and keep better historical records on the equipment.

That same history helps when something goes wrong in the field. After a unit had been repaired and later had another hose issue on a job site, the shop could look back at the previous work in IVO to see whether the new problem pointed to something larger. Photos from operators can also be kept with the equipment history, giving the shop more context without going back through a filing cabinet page by page.

For Hensley’s Paving, IVO Systems helped the shop work smarter without adding more work to the process. Maintenance history is easier to keep current, equipment information is easier for the right people to access, and the team can spend more time turning wrenches instead of chasing down paperwork.

No two heavy civil operations are the same, but more contractors are reaching the same conclusion: daily work gets easier to manage when information is easier to find and use.
